For tax and accounting firms

The season runs through one inbox. It doesn't have to.

Your software is fine. UltraTax, TaxDome, QuickBooks, the status board — all of it does its job. What nobody built is the part between them, so that part gets done by a person, by hand, in the eleven weeks you can least afford it.

What we usually find

Your inbox is doing three jobs it was never designed for.

Work gets queued in it, client information gets stored in it, and handovers get triggered from it. Email has none of the properties those uses need — no ordering, no schema, no state. None of what follows requires a CPA. All of it happens in the eleven weeks a CPA is most expensive.

01

The mailbox

Four to five hours a day at peak, on a mailbox carrying two to three hundred messages. Most of it isn't tax work.

02

Filing by hand

Download the attachment, look up the client, name it, drag it in — for roughly sixty percent of intake.

03

The same status, twice

Every code entered in the tax software gets entered again in the status board. Thousands of times a season.

04

Chasing payment

Hundreds of individual emails and calls, tracked in a spreadsheet that sits outside every firm system.

05

Client records, twice

A new client created by hand in one system, then created by hand again in another. Nothing checks that they agree.

What we own

Build or buy is implementation. The judgment is the job.

A vendor sells you the thing they make. We decide what your business actually needs and then stand behind that call. Sometimes we build it. Sometimes it's the software you already pay for, finally set up around how you work. Sometimes it's changing how the day is sequenced and buying nothing. You'll know which before you spend a dollar.

Nothing gets deployed once busy season starts.

We work in roughly four-week phases before it does — the more lead time, the more we get through.

FAQ

What owners usually ask.

Are you going to make us migrate off UltraTax or TaxDome?

In most cases, no. You keep UltraTax, the document system, the portal, the accounting package, and the status codes your whole firm already speaks — we build what closes the gap between systems instead. The exception is when something you're already paying for already does the job; then we just turn it on rather than build around it.

What size firm is this actually for?

Most of what's on this page shows up somewhere between 500 and 5,000 returns a season. Tell us where you sit and we'll say plainly whether this fits.

Can you deploy something before busy season?

Yes — and nothing gets touched once it starts; no firm changes systems mid-season. We break the work into phases of roughly four weeks each, so the more lead time you give us before your busy season begins, the more of it we get through. Even a short runway is usually enough for the highest-impact piece.

What's the first thing you'd look at?

Usually the mailbox — it's where the most time disappears fastest, and the fix doesn't require touching your tax software at all. We'll ask for your return count and hours per day at peak, and send back what the season actually costs. About ten minutes on your end.

Return count and hours a day at peak — ten minutes on your end, and we'll send back a number most firms have never seen.
